How to export database contents with embedded images

  • Follow

We have a database that has several text fields and two rich text
fields. In the rich text fields the users store images. When I
export to Excel (used odbc) or to a text file (via LEI) these fields
come out blank. Can anyone tell me how to export the contents of the
entire database, not just one record, and include these image files
that are in the rich text boxes?

Thanks in advance for your help - A Notes Challenged Individual

It's not surprise that images will not be contained in Excel or simple
text files, is it?

Do you need to do this export regularly? For a single document or all of
them? How many documents are you talking about? Would a pdf version of
each document help? Why do you want to export at all?

You see, there are quite a few questions around this simple topic of
"How to export database contents with embedded images". If you are
willing to answer them, I might be able to assist...

Jochen,

Yes it is no surprise. ;)

I only need to export them one time as we are migrating to another
system (SharePoint), however there are 100s of Notes databases I will
need to perform this on so there is not a lot of consistency. I
believe we may have found our solution with AvePoint's Migration tool,
but we are still in the testing phases. I was hoping not to have to
purchase a tool, but I can now see that with 100s of databases it is
unrealistic that we will be able to come up with something internally
that will export both the data and the embedded attachments while
maintaining the "links" easily. If you have any suggestions for tools
to perform this migration it would be appreciated.

Thanks!

Sorry for the late response. I have been on vacation for a little more
than a week.

I have been dealing with exporting documents from Lotus Notes/Domino
databases for more than 5 years now. There are a number of potential
pitfalls, problems, issues - what ever you call them.

As there was - and I think still is - no highly functional and flexible
solution that allows for user driven as well as automatic processing, I
have built an application framework that provides functionality for the
export of documents and attachments from any Notes/Domino database. Once
exported, the documents can be transformed (e.g. to PDF, HTML or other
format) and moved to another system.

Many of the migration tools I have seen are very good at the standard
scenarios - like seen in the video on AvePoint's website. But what
happens when it comes down to custom applications based on Domino? Do
you need to migrate the application logic, too? What about creation of
new documents after the migration is finished? Is this expected to
happen? What if the application that needs to be migrated is not an
standard document library or an discussion forum? What if the
application needs to be further maintained in a way that users can still
create new documents or edit existing ones? If you only migrate the
content, then why do it in such a rather complicated manner instead of
e.g. generating a pdf of each document with the original attachments
being embedded into the pdf? The pdf as well as the attachments could be
fulltext indexed...

You see: There is a large number of options and and equally large number
of questions. And this list is not complete at all. I would be more than
happy to share my thoughts with you, but to do so, I need to understand
your use cases.
